Can we have a workplace of the future without a boss of the future?

For some years now, but with increasing pace – books, blogs and videos are all predicting a new (and often idyllically portrayed) world of work where workers are empowered to choose where and when they work, teams are built on a project basis to find the best workers, and personal and family life are interwoven around the way we work (this example is from Microsoft). The idea of the physical workplace itself, as a service or as a consumer item forms part of this world, along with technology that is now becoming very real – on demand video conferencing (often with holograms).

 I first remember encountering theses concepts some years ago reading Thomas W Malone’s “The Future of Work” which predicted decentralisation of organisations and more freedom for employees to determine when, where and what to do.  At the time I read the book, the technology wasn’t quite real for me yet, but was already starting to change the way we work. In the 5 or 6 years since then, I know that my iPad and iPhone have drastically changed how I can work, in particular while I am traveling.

This new world of work is sometimes given a timeframe as in this study – Workplace 2040. But what’s stopping this from being Workplace 2020? I don’t think it’s technology, I think it’s the people. One of the key things these scenarios all rely on is the independence of the workers and the ability of these people to work together regardless of physical locations. For the majority of workplaces today, these are already no longer technology issues, any difficulties come down to human nature.

Very few jobs are yet structured around only around doing a set amount of work. Most are still structured around an expectation of set working hours, although perhaps these hours are more flexible now than a generation ago. It is still much more usual to see people staying back because the work is not finished, than for them to go home early when all the work is done. One issue in many workplaces, after of years of economic downturn – is that its pretty rare the work is ever all done, and if it is we worry that to leave early would make us a target for redundancy. But most of the time there are simply insufficient numbers of staff for the work to ever actually be finished. The other issue is that there is still a very common view that we are employed just as much to “be” at the place of work, as we are to “do” work. People are afraid if they finish their work and leave early (or even on time) they will be judged both by their managers and their peers as being lazy, slacking off, not contributing or not being team players – when in actual fact they might be more efficient and better at their jobs. To many employees, flexible has come to mean flexible for employers (I know of one firm where when employees raised the issue of flexibility the employer genuinely believed this meant flexibility in how the work was done – in the office, with no idea staff were wanting flexibility in how and when they worked!)

Even in organisations which already have activity based working or other forms of agile working, these same kinds of problems are occurring. I heard a story about one large ABW workplace which has a working from home policy, but the main workplace is often too full. Is it full because the environment itself is so successful and staff can’t stay away, or is it because there is a least one manager who wanders about every morning ticking off a role of staff and then contacting anyone who hasn’t been in the office for 2 days?

In an ABW environment, the distrust managers have of workers whom they can’t see can manifest even when staff are working within the office but beyond the managers view. It’s the same emotional motivations that lead to workplaces with beautiful but empty breakout spaces – staff are afraid of being seen as slacking off.Perhaps it’s also this fear behind why some middle managers are also so reluctant to give up their offices, it’s not so much about the work they do, or even the status, but their belief that they have earned  their right to not be watched over by the boss.

Another working model enabled by technology and affected by the same issue is distributed working, where company employees are based in different geographic locations.  I have worked in this model and it does present interesting challenges as a team leader.  Whilst staff may have a manger in their physical location, as a team leader you only know your staff are working on your project by the work they produce. You do have to manage differently for performance based outcomes – if you have your team sitting in front of you they are more likely to communicate with you more directly both with questions about the work, if someone else asks them to do something or when the work allocated is completed. Managing a distributed team does take more work – but not only does it allow more flexibility in team structures, where we can work and deliver projects – but it actually teaches managers and team leaders to be better at their jobs, better organised and better communicators.

Managements fear of the invisible employee is not a problem of architecture or design – it doesn’t matter what sort of office you have or how amazing your design team are. If your managers don’t trust their staff and are not trained to manage remote staff (from on another floor to in another country), then ‘new ways of working’ won’t work for your organisation. Very few organisations actually train people to manage teams, we don’t learn it at university either. Historically managers usually start out on the management path because they are good at the technical thing that they do – not because they are good at managing other people. If they make money for the organisation, they are likely to be promoted further regardless of their people management skills. Maybe at some point their organisation will decide they need some extra ‘soft skills’ but is likely they have developed their style and habits by then, and it’s now long past when they really would have benefited from them. Maybe as part of a new office fitout someone will have realized that a change management program is required. But in a large organisation, is it thorough enough to go right down through all levels of management and is the whole of the organisation seriously aligned to the goal (even when their own bosses are not looking)?

Perhaps a self managed team structure is the answer? Some organisations are now starting to abolish middle management in favour of this idea. I wonder how it will work, will natural managers and leaders start to emerge? Or does it only work if the whole team is highly organised and motivated (in effect naturally good at managing themselves at least)?

Is it possible the fear of flexibility and remote working is generational difference, and one that will simply disappear between now and 2040? I don’t think so. Whilst I see many more younger managers who are comfortable with remote management and who have more trust in their teams, than older ones. But I don’t think its necessarily a distinction of age, but one of culture and of an acceptance that the way we work has already changed. I am frequently shocked that anyone could suggest that we might work the same way now as back in the eighties or even nineties. In the 15 years since I graduated architecture the way we work has changed fundamentally. Not only has technology and software changed, but these changes – in particular the mobility and automation they have enabled means that new ways of working are not something of the future – they are already here, it’s just that some people don’t seem to have noticed it yet.

Is a Well building different to a Green building?

Sick by Leonid Mamchenkov, on FlickrRecently I attended Worktech  Melbourne, where many of the speakers focused on wellness (or  health and wellbeing) which seems to have become the next big thing in workplace design. Australia is about to have its first certified “well” building, the new Macquarie Bank building at 50 Martin Place.

When Tony Armstrong from CBRE mentioned this concept of a certified “well” building, and that it had been around since 2013 (with CBRE’S global headquarters actually having being first certified WELL workplace) I wondered why I hadn’t heard of this building assessment tool before. I keep pretty up to date with what is happening in both the world of workspace and of green buildings, and this concept of a well building certification seemed like something that would have grabbed my attention before. Someone suggested maybe it was the Living Building challenge rebranded (it’s not). Whilst the WELL building standard may have been around for a little while, it’s been a pilot (version 1 was just released in February 2015) and there are so far only a small number of WELL certified spaces (coincidentally I have been to one of the restraunts registered for certification in Chicago).

So what is a WELL building? According to the website of the International Well Building Institute, who developed the WELL Building Standard “Buildings should be developed with humans at the centre of design.”  Interestingly this sounds almost the same as TILT Studio’s concept for codesign, who also spoke at Worktech (and is fresh in my mind because I have just been reading their book Codesign).

A WELL building is more than just human centred design – a WELL building sounds pretty amazing actually. The Well Building Institute claims not only will a WELL space improve our health, nutrition and fitness, but also our mood and our sleep patterns. And of course our improve our performance. There have long been claims that a well (as in good!) designed building, in particular workplace increases productivity, which one assumes equates to increased performance. From my own experience as a designer,it’s clear to me how buildings can help or hinder the activities within. Buildings improving mood also makes send to me – stimulating design, natual light and sufficient ventilation all play a part in enhancing our mood. But how can our buildings help improve sleep? Or nutrition? Clearly I need to learn more about what a WELL building might be.

So this week I set out to undertake some research on the WELL Building standard to see what it entails and how it differs from and compliments a green building (I should mention that the WELL Building certification is administered by the GBCI who certify LEED).  When I started reading the WELL concepts (or categories) it sounds a lot like GreenStar (Australia’s equivalent to LEED) – air, water, comfort… nourishment and fitness are a bit different. WELL has 7 categories (called concepts) are air, water, light, nourishment, fitness, comfort and mind. Like GreenStar these categories are then broken down into features (a total of 102). Some features are baseline essentials for certification and some are optional for extra points and a higher level certification. Also like GreenStar some features relate to the built fabric and some are management, policy or education strategies.

Air – this category is all about indoor air quality so is very similar to what you would expect for a green building.

Water – green buildings tend to focus on water use, WELL is all about water quality.

Nourishment – I am going to quote this one because I am not even quite sure what it might mean yet. “Implement design, technology and knowledge building strategies to encourage healthy eating habits. Provides occupants with design features, behavioral cues, healthy options and knowledge to enable healthier food choices”!!!! How will my building do all that? More research required on this element for sure!

Light – this seems a little more straight forward. It’s all about appropriate light and enough natural light. I can see how lighting can impact health, so many people complain about headaches and muscle tension related to poor lighting. Daylight also regulates our mood and sleep patterns so maybe his is how well buildings help improve our mode and sleep?

Fitness – is about introducing opportunities for occupants to excercise. So I expect this category will include features such as gyms but also design strageties that encourage using stairs over the lifts.

Comfort – again this is someone similar to some similar GreenStar credits. Acoustics and thermal confort a key to providing a “soothing, distraction free environment”.

Mind – this is another category I want to research further. Here we are looking to support mental and emotional health, relaxation spaces are important but so is “providing feedback and knowledge about their personal and occupational environment”. What does that mean?

Obviously to understand the tool and what it means for the design of buildings I need to do a bit more reading (all the above was gleaned from the overview sections of the website). Next step download the standard.

One difference I notice immeadiately on reviewing the executive summary is that “the space must undergo a process that includes an onsite assessment and performance testing by a third- party” – this sounds interesting someone must actually visit the building – and is not required for a GreenStar certification. The assessor will spend up to 3 days onsite undertaking tests and verifying features applied for. This is pretty stringent and I imagine comes at a cost (Certification is charged by the square foot, prices are on the website).

The program allows for certification only of completed occupied spaces. Buildings yet to be tenanted cannot be certified, only designed as WELLL compliant. Like GreenStar or LEED there are levels ranging from silver to platinum. WELL is being designed for many building types, although at this point is mainly aimed at office and institutional projects. Other project types (retail, residential, healthcare and more) are encouraged to register and help develop the pilot programs.

Like GreenStar has recently introduced, certification has a validity period of 3 years after which time, it must be re-verified and certified again.

If you are familiar with LEED, the standard has a comparison table identifying how the WELL features relate and cross over with LEED.

At this point I decided to read up on the nutrition and mind sections of the standard as these are the areas that I feel I have the least understanding of how design could affect space occupants in these areas. So I am by no means an expert on the standard yet!

Unsurprisingly a large part of the nourishment section relates to food and drinks provided or sold by or under contract with the project owner. So if I wanted to have a WELL certified shopping mall and my food outlets would have to meet pretty specific items around fruit, vegetables, fat and sugar as well as serving sizes and labeling. I’d say it would be simpler for a workplace which would tend to provide less food to employees. Hand washing is a feature where design plays a part – provision of disposable paper towels and soap at all sinks as well as minimum sink sizes are required for this feature. Under another feature, food preparation area require separate sinks to prevent cross contamination. (I wonder if a workplace breakout counts as there wouldn’t usually be raw meat there?) There are some specific requirements for refrigerators which might be selected by a designer. The main areas where nourishment features are impacted by design would be the provision of gardening space and spaces for mindful eating, both of which are optional features. Mindful eating is the provision of breakout areas as unsurprisingly getting away from out desks is good for reducing stress, and apparently eating with others encourages healthier eating. The eating space must have fridges, microwaves, sinks etc and contain tables and chairs to accommodate at least 25% of total employees at a given time as well as be located within 60 m [200 ft] of at least 90% of occupants. The new GreenStar interiors tool also requires breakout space, with an area based calculation per occupant and less definition of what the space contains – the GreenStar credit is about providing staff for employee enjoyment as opposed to specially a space for eating (it can be part of an activity based work area)

The mind concept is much more diverse. Covering biophilia, workplace policies in travel and flexible working, charity, beauty, the design process and post occupancy evaluations. Some features would be perhaps difficult to demonstrate objectively – how do we measure if the project contains features intended for human delight and celebration of the spirit? (This feature is apparently derived for the Living Buildings Challenge). The feature related to adaptable spaces and requirements for both diverse spaces for collaboration and private spaces for concentration could start to provide a good guide to the amounts and types of private spaces required within workplaces when clients start pushing design teams to cram in more workstations. Not sure the sleep pods and meditation cushions will take off just yet though! Inclusion of plants has already seen a big increase in Australia due to GreenStar, and forms part of the biophilia features along with patterning from nature, water features and roof top gardens. Other design oriented elements include minimum ceiling heights and the inclusion of artworks.  This mind section would be worthwhile for designers to take into account even when not designing specifically to meet the standard.

Having reviewed in more detail two of the seven concepts, only around one third are design related. Clearly certification under the WELL building standard requires a high level of commitment from management and will have far reaching effects on the organisation and it’s employees and building occupants. The question is who will drive adoption of this standard – whilst design teams can educate their clients as to its existence, I think ultimately it will have to be driven from within an organisation’s leadership team for there to be any chance of sucess. Perhaps also we will soon be finding a new consultant on our team, a wellness consultant who might have a background in HR or psychology rather than in buildings. Personally I believe, this could only be a good outcome for workplace design. What do you think? Can design contribute more to health and wellbeing? Could we all achieve more by working less?

Balancing lady by orangebrompton, on Flickr One of the reasons my blogging schedule is a little irregular from time to time is the fact I always want to enjoy writing this blog. Its also one of the reasons I take a break in January. To me, this is the meaning of work life balance – that you are enjoying what you are doing, its not just about the number of hours you spend at work, or doing things that are related to your work. Interestingly during the course of writing this post, I came across this article, which claims that work-life balance is impossible – but to me, describes what I would think of as work life balance – in particular filling your life with things you love.

I think for most of us who work in architecture and design, we do love many parts of what we do. But that doesn’t always equate to feeling that we have a happy balance between our work and other things we love – some of which may be related to, and extend our work, such as attending or presenting at conferences, research and writing or contributing to the industry as a whole – as well as all the other things that are important in our lives – family, friends, health and other interests.

For most people, even architects who love their jobs – we don’t love unrealistic working hours and deadlines. Mentally there is a big difference between a deadline that is a realistic and achievable goal which you have the time, energy and passion available to meet, and deadlines which are unachievable or require you to work an 80 hour week. Working late because you are caught up in solving a design problem can be enjoyable, working late and having to cancel other plans because someone else is having a crisis is not. I think for most people, it is particularly when we feel we have no control over our work and working hours, when someone else has created the deadline without your input, is when work and life start to feel out of balance and we feel stressed.

As many architects are, I’ve always had a tendency to words being a bit if a workaholic – I think you wouldn’t ever be able to finish the degree if you weren’t. Most of us do care so much about the quality of what we design and care about meeting our clients expectations that we are often prepared to put in additional hours, and not complain, still be happy and love our jobs. But in our industry, extra hours are because clients set unrealistic and unreasonable time frames for design and documentation. We often have the same amount of time to actually produce a design as they will then take to review it! Or we are working extra hours because ever decreasing and competitive fee structures rely on architectural and design staff to work extra hours for free. But is it really worth it for our clients or our firms?

Last week I read an article on how working more than 50 hours a week actually makes you less productive.

In my own experience I think this is true. As with many people, after an injury due to overwork and then later being made redundant and having some months off, my priorities around work have changed. Whilst it’s still important to me to deliver great projects and satisfy my clients,I am not willing to sacrifice my health or my whole life to do that. I also realise the value of taking time out of day to day work in order to be more inspired about work (see my previous post on finding inspiration).

So most if the time, I do now work less hours than I used to. Yes, there are still occasional times when you will find me in the office at 10pm or on a Sunday – but it’s no longer a regular occurance. I have realised that most of the time, I still get just as much done, if not more. Because I have time to sleep and excercise and I’m not stressed. Because I have time to read and blog, to go to conference and the like, I find new ideas and ways of thinking. When I go to work, my brain is switched in and I am getting work done more efficiently with less mistakes. This is an obvious benefit to the practice I work in, how much would our practices benefit from all their staff being at the top of their game rather than stressed and tired? Would it actually balance out the lower levels of overtime? And could our clients also benefit?

Clients often make the mistake in cutting short the design, and particularly the documentation process. Design takes time to consider and to mature – even if the first solutions might be close to the right answer, it almost always improves the design if time is spent considering, testing and discussing the design against the building requirements and functions. The opposite is also visible – I know in my fitouts – if you go to the spaces where the client rushed through last minute changes without allowing a full reexamination of the design as a whole, even people who are not designers themselves can usually tell there is something odd or comprimised about these spaces.

Short changing documentation is even more common – and with even more direct negative results to the client – straight to the hip pocket through RFIs and variations. Clients are often unwilling to understand that documentation is a process flow. There gets to a certain point where we can’t do it any faster no matter how many hours we spend on the job or how many staff we throw at it (also a bad idea when it comes to accuracy and consistency). There is a back and forth sharing of information and a review process between architects and designers, engineers, code compliance consultants and many others that makes up even a relatively small project today. Each person needs time to do their job and have it checked or errors inevitably occur. So clients next time you ask you design team why there have been so many variations, maybe you should think about how you cut back their delivery program.

Does the architectural and design industry need to rely on long hours? Is it helping you, your practice or your clients? Is it better to work smarter than to work harder? And what does work life balance mean to you? Is it becoming more important today that in the past?

Big data at the intersection of building analytics and people analytics

buildings with peopleImagine if you could simulate your building or workplace environment before you built it – not just simulating energy usage or daylighting – but creating a simulation of how the people would behave and work inside your space. And not just a generic sample population, but your actual workforce in a simulation that knows and understands their actual behaviours. Before investing in bricks and mortar (or tables and chairs) – you could test numerous design scenarios and their impact upon not only how the building itself operates, but also how the occupants respond, their use of space, their interactions with one another and more. How would this change the way we design, the way we build and possibly the way we all work?

Many people would think this sounds pretty far fetched, futuristic and certainly a little bit big brother. The reality is that we actually have both the information and the technology available to do this – right now in 2014. Today I’m going to talk about why we would want to look at simulating human behaviour in the built environment and what this could mean for design, as well as discuss the types of data analysis and technologies from different fields that I believe could be brought together to make this kind of simulation of the built environment possible.

My background is in workplace and educational design. A large workplace is probably one of the most complex environments in which to try to predict and understand human behaviour. Unlike a restaurant, a shopping centre or a train station, it is designed to have a large number of diverse activities taking place. Whilst at the same time – and I know this sounds a little strange – there is actually less of a clearly defined purpose in being in a workplace than in many other kinds of enivonrment. Different individuals have different purposes in being there, because they enjoy their work, to socialise or to earn money are just a few. An opposite example of a much more simplified purpose of space would be in a cinema – where almost everyone is in the space for one purpose, which is to see a movie (although they may have different motivations for seeing the movie). In the workplace, because there are so many different activities and behaviours, finding patterns to predict how people work – and even understanding what improves their work is more complex.

The holy grail of workplace design is to be able to prove that certain design elements increase productivity. Most researchers agree that it has historically been almost impossible to measure productivity in knowledge or service oriented workplaces, which today make up the bulk of first world workplaces. We can however measure a lot of approximations of productivity – or things that we expect to have a close correlation with productivity – things such as staff retention, absenteeism or self reported satisfaction and comfort levels. This kind of data is readily available.

Another key issue in workplace design centres around the actual useage of space. Real estate is a significant business cost (though much less significant than the people cost) During the design phase of any project there is great debate over wdifferent kinds of spaces and how and if they will get used. Do we allocate individual offices to sit empty, will staff actually use that large breakout space, will that training room sit empty for half the year? From the workplace designer through to the facilities manager and the CEO, the ability to simulate occupant behaviour in the workplace has a huge potential to impact upon what and how we design our workplaces. To me this could be the next significant game changer in workplace design and productivity.

It’s being made possible by big data. In the past, we have not had access to enough information about either building systems or occupant behaviours to be able to simulate these kinds of complex environments. There is software that can simulate human behaviour – and it has been around for more than 20 years. Commonly used software that simulates vehicular and pedestrian behaviour or fire engineering modelling is all simulation software which is based upon predicting human behaviour. However, the difference between these previous software models, and predicting behaviour of occupants of a workplace or other complex building type is the complexity of the human interactions. Human behaviour in a fire situation or within a train station environment is much simpler than in a workplace. There are less possibilities because of the limited scenario, and also we are essentially only tracking one variable – movement. Workplace design has made very limited to use of this kind of simulation, for example Google campus at Mountainview has been designed to ensure that all staff are within 2 and a half minutes walk of each other. Movement within the workplace, or other building types, is a pretty simple and limiting factor to use to test and simulate our designs. Big data, and in particular, combining information from the fields known as Building Analytics and People Analytics, could give us the opportunity to feed a huge range of different kinds of building and human behaviour data into a simulated building model.

Building Analytics is currently seen as the next big thing in building and asset management as well as an important factor for environmentally sustainable buildings. Probably most people in this room have at least some familiarity with this field. In the past, data gathered from buidling tuning or the BMS was more limited and unlikely to be in real time. However this has been changing. Building managers can now have real time access to a range of data – from factors such as which lights or appliances are in use, to the temperature, CO2 and VOC levels, heat or movement maps of actual occupation coming through motion or heat sensors, lifts that track occupant destinations or individuals movement through security systems via access cards or CCTV. Many of these systems are already commonly available in any new large commercial development. Facilities managers and building owners are using them to understand and predict occupant behaviours in relation to building systems. Historical data from the same systems can then be combined with real time data to predict or simulate things like building energy usage in a given period or what the impact of certain weather conditions might be on occupant comfort.

This type of building analytics does take into occupant behaviours, but only at a very simple level, things like is the space occupied or not occupied – because this is key information for the running of building services such as lighting and air conditioning. Whilst this data is firstly being used to control the systems and secondly to predict building performance it also provides us with real time reliable data on occupied versus unoccupied space. The ability to use web based booking systems for rooms or desks was the first step that created some kind of data around anticipated space usage, but it wasn’t real usage data, only a prediction of usage. Today BMS data can be combined with this kind of booking system, and it is possible to not only track advance bookings but real time actual usage – if someone doesn’t turn up to use the booked space it can be reallocated to somebody else. Whilst this kind of information can help manage a building it doesn’t predict behaviours or improve occupant performance.

This is where People Analytics can start to work with building analytics to create a fuller picture of how space is actually being used, and what this means for the occupants.

So what is people analytics? People analytics looks at data generated by people and companies rather than data generated by building systems. It is a growing field of social science with implications in particular for human resources and recruitment – and in my view for designers. People anayltics starts to look at and analyse any available kind of data in order to find patterns and understand human behaviours – its anthropology using computer generated information. Today, data generated by people can include anything from emails, to social media usage, to bluetooth and movement tracking, voice recordings, computer data logs, organisational plans, charts and documents or google searches. If you think about your electronic footprint, even without anyone planning on tracking what you do, there is a lot out there. The more we use the web or cloud based services, the more data exists about our habits, our performance or our personalities. In the past the quantities of data have been so much smaller, that there was not sufficient amounts of data to generate patterns or the computing power to crunch it. Today there is.

By analysing huge amounts of historical data it is possible to identify patterns or characteristics of certain groups of people, or how to predict or promote certain behaviours. Once the historic data set has been created, it is then possible to analyse data of new people to identify who fits the patterns. We still don’t always know what the data can mean on its own though. One of my personal favourite odd ball data correlations is that super guru computer programmers apparently have a tendency to like a certain Japanese manga website! You can see the applications to recruitment and HR immediately.

Another fun example of the use of large samples of aggregate data is the Twitter happiness index. This website analyses the use of certain words on Twitter every day since 2008. Words are assigned values from 1 to 9 to signify sad to happy. The overall happiness score for each day is then calculated and graphed. There are also Twitter election indexes, oscar indexes and many more aimed at trying to predict outcomes based upon twitter traffic. Elections polling has been a high profile example demonstrating people analytics to the public. In the 2012 US presidential election, big data was used by a number of forecasters to accurately predict the results in all 51 states. These are all examples of different uses of people analytics.

But how does all of this relate to buildings, and workplaces in particular?

Lets start with a really simply example of using other kinds of data in combination with building systems data which was undertaken by Immersive, a big data company based in Melbourne, Australia. By taking the historic heat sensor data from a workplace BMS and analysing it against the organisation’s project planning data for the same time period, it was possible to determine what the actual space usage and occupancy loads had been over the period compared to the predicted project staffing levels. Using the same forward project planning data, it was then possible to predict the organisations actual future space needs. Whilst this takes into account some level of occupant behaviour – space occupancy – again its a single variable, where we are still looking at physical space more than actual occupant behaviours.

But what if we could take multiple kinds of data – data that is more specifically tracking behaviours in the specific context of the workplace? And not just data about electronic interactions – what if we can gather the same types and quantities of data about our face to face interactions as our electronic interactions? In analyising workplace productivity, this tracking of real time physical interactions is important – because in most companies, much of the informal collaboration still happens face to face. The theory is that in organisations where knowledge work is undertaken, social networks define how information is transferred informally across the organisation, and that this informal sharing is creating a transfer of knowledge. This new knowledge then has a significant influence on how the work gets done and therefore on productivity – kind of like how you learn just as much by going for drinks at RTC as you do in the presentations – people are sharing what they already know.

If organisations can find ways to firstly understand these social collaborative networks and then secondly promote them, social scientists believe that the organisations productivity can be enhanced. The office space itself then becomes one means of modifying social behaviours in order to promote certain kinds of interactions. But how to collect information on face to face interactions – we are not all going to suddenly start skyping the person sitting next to us.

Enter the sociometric badge. Developed by a team at MIT, this device contains a number of sensors. An IR transreciver allows the devices to sense one another, bluetooth records their physical location in space, an accelerometer can figure out if you are sitting or standing and a microphone detects audio. Right now this device is approximately the size of your building access card although slightly thicker and can be worn around your neck. In the future your smart phone will probably be able to track all of this anyway – its actually already got almost all of the same sensors. The sociometric badges have been used to track and record the behaviour of building occupants in a number of studies investigating the way we work. The outcomes have been published in a great book called “People Analytics: How Social Sensing Technology Will Transform Business and What It Tells Us about the Future of Work” by Ben Waber.

One of the interesting things is that the microphone doesn’t even record what you actually say. It records things like tone, change in volume and speaking speed – which are considered social signals, and which are in fact more important in our face to face interactions than the words we actually speak. Early tests in laboratory environments included speed dating and salary negotiation simulations. Computers were able to predict outcomes with over 85% accuracy based upon 5 minutes or less of these recorded social signals.

These devices have since been utilised in a variety of actual real workplace studies. So far sociometric badging has found that call centre productivity is enhanced when team members take breaks together and that the amount of time spent interacting and the amount of physical movement are god predictors of creative days.

These studies, and most in the book, are based around understanding and modifying behaviours rather than modifying environments, but as any architect or designer knows, if you modify the environment, you have the opportunity to modify the behaviours. One of the studies of most interest to us, looking at how changing physical space impacts on occupant behaviours, was a study which investigated the size of lunch tables in a workplaces cafe spaces. Using data from the sociometric badges within an online travel company, it was found that staff that sat at larger lunch tables were more productive. Within the existing office environment there were 2 different spaces staff could choose to eat lunch – one had small tables for 4 people, and the other larger tables seating up to 12 (or they could chose to eat by themselves at their desk). The data quickly showed that the people who ate lunch together would then tend to communicate further that day. The staff that sat at the larger tables were more likely to speak with others outside of the group they had arranged to lunch with, and formed larger conversational groups at the lunch tables. These wider lunch time conversations led to links and collaborations in the organisation that were not otherwise being formed. These links were part of the knowledge sharing that led to greater productivity.

In another MIT project, the cubicles themselves were equipped with sensors so both the office environment and the people within it were being analysed. The cubicles were fitted with blinds instead of typical workstation cubicle screens, in order to provide privacy or allow collaboration. Based upon the collaborations that the data had identified as being most beneficial, the automated blinds would open or close overnight. In this way the building itself can even automatically respond to data analysis.

Often, the data coming out of these studies is not surprising the social scientists or the building designers. What is is doing though, is proving things we know instinctively, the things we have seen work before.

When you think about this information about your day, what you do, where you go and who you talk to is then combined with your electronic footprint, the information about your colleagues and then possibly also the building data – its a pretty full story of what happens inside a given workplace or building in a day. The possibilities for analysis and experimentation will be endless. Why is this so important to design and construction though? So far this is all about modifying existing environments. Being able to test and prove what works is the next step.

In an example that initially does not seem to be related to physical space, but to health, the sociometric badge data is combined with data about how disease spreads. The impact of sickness on the work environment, the interactions and the productivity can then be simulated across a range of scenarios with different people being the disease originator and different simulated responses such as stay home versus solider on being tested. One suggested solution to minimise spread of disease was to change the regular seating layout, which has the effect of reducing the level of interactions between people who already knew each other.

Moving into the not so distant future – there is no reason why the possibilities of physical environments could not be tested inside a BIM, with the algorithms behind the behaviours of the sims being developed from these kinds of behavioral data sets. We have the technology available to us already.

While this isn’t about BIM as we know it today, the link between the the building model and the simulations is obvious. But will architectural practices embrace these technologies or will this lead to another new kind of consultant in our team?

Imagine the value of the design and simulation team who can prove to the client organisation that workplace productivity could be enhanced simply by working with them? Translate that to all kinds of building typologies – and the whole definition if what architecture is or could be may change. Perhaps big data is going to have an even more significant impact on change in our industry than BIM, in ways we haven’t even imagined yet.

The Midnight Lunch: My favourite apps for busy consultants

A few people have commented to me recently on the number of apps on my iphone and ipad or have told me they are unsure how to use their ipad for business and which apps to use. So I have put together my recommendations – and most of them are around organsing yourself, communication and business rather than specifically interior design or architecture – and so are equally useful for engineers, real estate or project management professionals.   While I’m talking specifically ipad as thats the platform I use, most of these apps are available android as well.  Where I’ve mentioned them, prices are the USD prices on the itunes store.  You will notice I’veexcluded all the social media apps from this post.  While social media and apps go very much together, I am writing my next post as a follow up to go into more more detail about social media for designers and architects.

Evernote
Evernote is one of my favourite apps for so many things. Evernote is designed as a digital notebook library. You keep notes in notebooks. Notebooks can be sorted out into groups to easily separate them. Notes can be words, images taken with your device camera, snippets captured from the web or even recordings. The notes can be tagged and can be searched for words they contain (think like having google for your notebook). You can share notebooks and you can have a business account too. You can have Evernote on all your devices and on your desktop PC, and you can access it via the web. Supposedly (and I would agree  having experienced this), Evernote gets more useful the more you have stored there – because you really then benefit from its power to find things. I use Evernote with a premium subscription (for more space) for work, blogging and research and personally too (its great for your tax return). A great example of how I use it for work is an event like InDesign, a big trade show. During the day I take photos and make notes for each suppliers showroom or stand I visit. I tag the notes with “lounge”, “planting”, “lighting” and things like that. Later in the office when I am looking for planting ideas, I can filter the notes by tag and find all the notes I have made (in the past 2 years!) related to planting ideas. It’s amazing. If you want to know more, there are some great books out there plus lots of blogs, websites etc with tips. If you are really interested in how I am using it, let me know – I could easily write a whole post on it.

Evernote Hello
So I’m not quite finished with Evernote yet. There are a large number of apps that work alongside Evernote for added functionality and one I use is Evernote Hello. Hello allows you to scan and store your business cards as records in your Evernote account. You can make notes on where you met people and add links to their social media at the same time as you add them into the app. You can search within the Hello app or later in Evernote. Because you can make notes and in Evernote you can add reminders, you can also use it as a basic client relationship management software.

Remember the Milk
One feature I don’t use much in Evernote is the reminders. This is because for many years (even before iphone) I have used Remember the Milk. Like Evernote its available on multiple platforms (However only with the ability to sync between them all if you pay for a premium subscription), you can also share lists (I haven’t personally tried this feature). RTM allows you to create multiple lists (for example I have one for work and one for personal, plus a few more specific ones), set prioritys and deadline times, send reminders (you phone moos!) and set location. It can now also be linked to Evernote (I just set this up yesterday) as well as google, outlook and a whole host of other platforms.

Numbers
I spent ages looking for an excel app and tried at least half a dozen. My advice – give up and go tablet native with Numbers, Apples own spreadsheet app. It costs $10.49 but its worth it. Its so easy to navigate, creating and formating spreadsheets is so much easier with this app than with the apps that try to mimic your PC. And compatibility with Excel seems to be pretty good, I’ve been using some pretty complex spreadsheets back and forth and they seem to be OK (Formatting, formulas and multiple sheets included).

Dragon Dictation
This is an awesome app. Turn your iphone into a dictaphone, as as you record it types. Its not 100% accurate, but its not bad. I use it sometimes for blogging and also on site for recording defects.

Goodreader
This is my go to for a PDF reader, there are free ones, but at $5.49 I have been happy to pay for the extra functionality and useability of Goodreader – I’ve been using it for over 2 years now. It opens up your PDFs, allows you to sort them into folders and annotate them. One thing I like is that your PDFs in Goodreader are stored on your device, not on the cloud, so you don’t need wifi to open them up. I use this for everything from drawings, to meeting minutes, to programs. The day I realised my ipad was super useful for work beyond just the internet, was when I sat in an airport lounge marking up drawings that had just been emailed to me. I use a stylus pen for marking up in goodreader.

OneDrive and Dropbox
I have both – too much cloud strorage is never enough. Both OneDrive and Dropbox allow you to store your files in the cloud instead of on your hard drive. You can download the apps to access your files from your mobile devices and you can install on your PC to save files directly to the cloud. Both give you a certain amount of free storage with bonus storage available by installing apps, recommending to friends or purchasing a premium subscription.

Flipboard and Feedly
Flipboard and Feedly are both RSS readers with beautiful magazine style formatting. This means you can add all the blogs you follow as well as online magazines and social media.  The app has built in recommendations you can pick from too (for example under Architecture Arch Daily).  The app then builds you a magazine with a mix of articles from your selected sites. Flipboard gives you a separate magazines for each feed (site) which I don’t like (it used to be able to integrate with Googlereader to give you one magazine only). I just went back to Feedly again which seems to have developed a bit more since I originally joined last year and I’m going to see how that goes.

Project Management Systems – Acconex, Conject etc
They seem to be something we all have to live with these days. For me personally being on the interior design side, I find PM systems seem to be a lot of work with very little project benefit, but hopefully the PMs get some benefits out if them. Anyway most of the systems have an app,so that at a minimum you can read and send messages on the go. The Aconex app for ipad seems to have pretty full functionality, I am able to upload documents while I am out an about.

Turboscan
This is a great little scanning app – it works better than a photo because it takes 3 photos and adjusts out the fuzziness and converts it to a PDF.  I find it worth the $2.99 I paid.

Slideshark
This app allows you to run your PowerPoints from your ipad. You can choose if you want to view your slides full screen or with speaker notes and you can set it up also on your phone and use your phone to control the slides remotely. Whilst there were no compatibility issues with displaying PowerPoint, you can’t edit PowerPoints on this app. Maybe I will have to switch to keynote…

Bluebeam Vu
I haven’t personally used this app but one of the guys in the office has assured me it’s awesome for defects. You can take photos, annotate them and link the to locations on a PDF of the floor plan. Bluebeam Vu is free and then you can upgrade to Bluebeam Revue (not sure what the features for that are)  It’s the next app I’ll be testing.

Kindle
I have had a kindle for ages, however when I first bought it there were a lot of architecture and design books I would still buy in hard copy – black and white for images was not really worthwhile. However, now I get these books delivered to my ipad and read them using the kindle app. It syncs with your kindle and your amazon account and the images look great on ipad.

Teamviewer
This app allows you to remotely view your PC screen. Create an account, Install it on your PC and on your ipad and you can view your PC screen on your ipad. Pretty cool…but clunky to use. Good really for quick changes to word documents or emailing or moving files to the cloud. Free for personal use.

Facetime and Skype
Especially if you need to contact people overseas, both Facetime and Skype are great simple to use apps for making video calls over the web. Yes, sometimes they drop out – but hey it’s free.

Unroll me
This is not an app but it’s a super useful service I discovered recently. You sign up and it scans your email account for subscription services. Then you choose which ones to “roll up” into a daily digest, and at the same time, easily unsubscribe from any you don’t want anymore. It then sends you one email per day at a time of your choosing for all your ‘rolled up’ emails.  I have all my linkedin subscription emails arrive just before breakfast instead of getting 20 or more scattered throughout the day.

So there you have it – my favourite apps. I’m always on the look out for new ones, what are your favourite apps to use to keep you working whilst out and about or make your work life easier?

Are you sitting in a half empty office? What would you do with all that vacant space?

Two weeks ago I attended the Retrofit and Refurb conference in Sydney at Australian Technology Park. This is the first time I’ve attended this conference, and it’s a very diverse conference in terms of both the speakers and the attendees. The speakers were a mix of architects, engineers, sustainability consultants and suppliers, with the topics as diverse as the speakers and including energy upgrades, environmental upgrade agreements, GreenStar, workplace design issues, hotel refits and project case studies. I would say the target audience was building owners, however there really was something for anyone involved in refurbishing existing buildings – maybe not 2 full days though. The other feature of the conference program was that the sessions were not grouped in any logical fashion but different topics were spread across the two full days. So, for example you couldn’t choose to attend just a half day session to hear the topics about workplace design and GreenStar interiors. I assume this was deliberate in order to encourage attendees to spend the full two days at conference mingling and networking and visiting the supplier expo booths. For me it did mean a couple of sessions on my iPad catching up on emails and replying to comments on my blog – I’m not quite so interested in the detailed operations of air conditioning system upgrades! However, I certainly did find many of the presentations interesting though and have gathered new ideas for this blog as well as meeting some new people and catching up with others.

It was the first presentation of the conference which has inspired me this week. Simon Wild from Cundall’s presentation on multisite integration was one of the most interesting presentations of the conference covering a very diverse range of issues around building refurbishments and sustainability, with a focus on how integrating systems across multiple sites can offer environmental benefits (he has a great blog too). The case study presented was the Sydney Central Westfield, where by combining services systems across retail and office towers greater efficiency was achieved due to different functional uses and different peak loadings. Simon then spoke about how his could be taken further if larger numbers of buildings could share services, which is now becoming possible even remotely for electricity, due to remote transmission infrastucture where electricity is shared over data networks rather than physical transmission (I have heard a bit about this lately…but don’t ask me to explain any more than this about how it works!).

This discussion about multiple uses better utilising services got me thinking during the presentation about utilisation of office space – and how underutilized it is especially at night and on weekends…And then later in the presentation, Simon raised this very issue.

First some facts from Simon’s presentation:
A 1000 person activity based working (ABW) fitout with only 800 desks is equivalent to 15 years of the office operating carbon neutral.
Approx 50% of space in the CBD is vacant at any one time (and I think this is during work hours!)
City wide ABW in Sydney would save as much energy as making all the buildings in Sydney 6 star Nabers rated.

This week, this vacancy rate certainly made sense in my office, with a large number of staff away due partially to the exodus that seems to occur in most offices every school holidays or the week of long weekends. ABW starts to reduce this underutilized space belonging to a single organisation, but creates more empty space as organisations downsize their tenancies. We therefore have 2 kinds of space to consider – the space left vacant by tenants downsizing their tenancies and the temporarily vacant space by people in not being in the workplace.

So, how do we manage all this vacant space, what do we do with it? One suggestion at the conference was to convert commercial buildings into residential. But I’d like to contemplate how this could impact upon the way a traditional office or commercial building is designed and programmed, and how perhaps it could accommodate tenants working in an ABW a model, but other tenants as well, because ABW won’t be the answer for every workplace. Also how could such a building could accommodate other aspects of the changing workplace, such as the ageing population, more flexible working arrangements, options for working parents, and a closer integration of work and life. The commercial office tower as we know it really dates from the early to mid 20th century when western life was base around a separation of work and life with male workers with a stay at home mum and a couple of kids out in suburbia. The fact that these buildings stand at 50% empty consuming resources isn’t so surprising given how different our lives are today.

Mixed use commercial buildings are pretty common these days – the building that doesn’t have a coffee shop in the lobby is a rarity (certainly in Australia anyway), and it’s becoming quite common to have a couple of levels of retail and a food court beneath an office tower too. This is all great, but what else could we insert into our office buildings? In particular are there functions which would operate after hours or support the lifestyle choices of workers? Maybe all these extra functions shouldn’t all be at the bottom of the tower either? In Japan it’s not uncommon for common for restaurants and bars to be located within office tower buildings. Personally, I’m a big fan of a bar in the lobby – so much easier to convince your colleagues they do have time for a drink when they don’t have to go anywhere and maybe you will be able to pull in few more as they pass by.

At the other end of the healthy lifestyle scale, perhaps our office buildings can support some healthy choices too – some buildings already have commercial gyms, how about yoga, massage or acupuncture as well? Some of these kinds of spaces could even become flexible use spaces – meeting rooms during the day and yoga studio after work.

Currently, these kinds of facilities are either provided commercially or by single tenants for the use of their own staff, within their tenancies. Is there the opportunity for these spaces to be provided in a different model – either by the landlord, or perhaps by one large tenant but benefitting all tenants? This could enable better use if space throughout a building and enable landlords to fill up otherwise vacant space and entice new tenants. Maybe a landlord could provide a series of well being rooms suitable for massage, physio, doctors or acupuncture. Individual practitioners could rent the rooms perhaps on differing short or longer term arrangements. Maybe some operate commercially selling their services to individuals but maybe others are paid for by the corporate tenants as a benefit for their staff.

Landlord provided spaces and services, or commercial tenancies are quite straightforward in terms of who pays, the security of the space and shared access. Management of the spaces becomes the issue, with a landlord having more diverse functions and infrastructure to manage and operate. But how about tenants sharing out their tenancy space? What are the issues? And could the landlords actually help with this too?

Whilst the landlord could manage a major meeting and training facility for the use of all tenants, maybe this is better off managed by one of the tenant organizations. Perhaps they have a very high level of in-house meeting needs, specific expectations of service, or they are a training provider. Firstly, if this is to be a shared service, then the costs of the space and servicing it have to be considered – in my view it’s the landlord who is best placed to manage this, through rent discounts for tenants providing services such as this, and maybe a higher rent to other tenants. I’m not convinced these models should be a direct user pays system based on booking, but maybe that could work too – Although I think as soon as something like this becomes user pays, corporates just start to build their own.

The meeting facility is usually a discrete space though – what about letting people in to use all those vacant desks, informal breakout areas or casual meeting places? Or perhaps even breaking down the idea of one organisation, one tenancy? Traditionally the tenancy is required as a secure container for stuff (refer to my blog post on Natalie Slessor’s talk on the future workplace for more on this). More recently, this stuff was also electronic – data servers and computers. We had to protect our equipment, our papers, our computers and our data from being accessed by outsiders. What we could never really separate from outsiders was our people – today, it’s our people that are the most valuable asset. These days although we still want to protect our data, we don’t keep it on servers in our offices (creating yet more vacant space), we keep it on the cloud or in data centers. So why do we need that company network anymore? What if IT was provided by he landlord, as a utility, like electricity? Then there is no technical reason why I can’t come and work in your office for the day if it suits us both (oh, I didn’t mention, we have gotten rid of all those fixed computers and phones we need to keep secure too). The only reason left is confidentiality, which I think is mostly only a concern held by those who are up to something dodgy in the first place – or if it is a genuine issue – needs genuinely confidential space, not open plan offices anyway.

Does this help fill up the vacant space though? If I have just moved from my office to yours because you have better coffee and a bar and a massage room, we still might have some vacant space? Though it really does encourage choice, and highlight which offices are popular and place of choice to work then doesn’t it?

Maybe we can fill up some space with some more diverse functions, that encourage other things and parts of our lives too. Just a few more random thoughts – a commercial kitchen could be used by office caterers during the day and charities at night (I know there is one in Sydney OzHarvest that cooks for homeless), a model making workshop for the architectural practices could also replace our individual home garages and workshops, childcare shortages are a big issue in Australia and it would certainly help more women return to work if more centers are provided within workplaces…I’m sure you can think of more ideas? With the growth of the sharing economy and of co-working perhaps we will start to see a whole range of different ideas.

Do our clients see interior design as a product? Do we as an industry?

enduro cart by i k o, on FlickrFor me the next question that then follows, if our clients do see interior design (or architecture) as a product, or if we do, is that a problem anyway, and does it change the way we design?Last time I wrote I compared some aspects of the workplace to a Chanel handbag, but it wasn’t actually connected thoughts that lead to these questions and title of today’s post. The musings in this post are based upon some comments at Sydney Indesign’s WorkLife day held recently as part of the new and expanded design festival that used to be Saturday InDesign (for some highlights of the more traditional showroom side of the event, visit yellowtrace). The WorkLife day was subtitled with what has become the most popular seminar/talk theme this year – of course it was “The Future of the Workspace”. It was the third event this year I have attended with a similar title (and I missed the recent similar event hekd at the Museum of Sydney – which despite being over $400 for the day apparently sold out). I’m very pleased to see so much focus, discussion and education happening around workplace design in Australia right now, and I thought that having a more formal program alongside the indesign showroom and exhibition event was a great idea. I will say though whoever holds the next workplace design seminar probably needs to think of a different title – I will suggest you could use the “trend” key words collaboration, serendipity and authenticity instead perhaps? Certainly if you are directing your message at an industry crowd.

The format of the day was a series of 4 panel talks with time in between for networking and exploring the exhibition hub of Sydney Indesign – Galleria (at Australia Technology Park, Eveleigh). Whilst the amount of time for the sessions was fine for panel talks (around 45 mins), I felt that towards the end of the day the panels were losing focus and perhaps we could have gotten more out of the day with more prepared presentations or specific project images and discussion, in order to give the panels more to focus on. The line up of Australian interior designers and other workplace consultants was impressive including team members from most of the large ABW projects completed here in the last 10 years or so. (For the full program see the WorkLife website) Paul McGillick from Indesign did do a good job at keeping the panel members talking and trying to get contributions from everyone involved, but there are times when even the best moderators can’t stop those determined to put out their own message (We don’t really want to be sold product at these kind of events). The format of the event didn’t really lend itself to a narrative blog post summarizing each speaker and so I’ve been pondering over the last week in what format I would share it with you.

In the end, one of the discussions that has stuck in my mind the most, was during the first session of the day – “Who’s Afraid of ABW – Is the Party Over?” – with Matthew Blain (HASSELL), Rosemary Kirkby (formerly MLC, NAB & GPT) & Stephen Minnett (Futurespace). It was Rosemary who raised the suggestion that there is a danger that the term Activity Based Working has now in Australia become popularized and many organisations wanting to define themselves as progressive will start to say to their designers – yes I’ll have one of those thanks. Stephen agreed seeing that we are in danger of jumping to another stereotype. The old stereotype was open plan workstations, low partitions and a breakout area with “kindergarten furniture”. He believes that ABW will fail if done as a copy paste, within conventuals time frames without engaging with business leaders and HR. It will fail if drive by the “wombats” in FM and procurement. (I loved this comment and was very tempted to use a wombat image for this post – and in case there are any of you in FM and procurement reading – I would say the fact you are reading a blog about interior design means you can rest assured that you are not one of the wombats).

It is really from these points that my own thought process starts to take over, influenced by other comments and discussions throughout the day as well as my own experiences with clients and designers. At some level, no matter how we feel about it, I believe design is a product. Particularly to our clients. Our clients are engaging us to provide solutions to their problems – and at the end of the day – more often that it these solutions are physical spaces. This is partly because of the procurement process – if we don’t provide a physical space we don’t earn fees, but it is also because that is what we are trained in, and what we know. Sometimes as interior designers and architects we can make the mistake of thinking that design can lead a greater program of change, be that at the office of the city level. I going to be bold and say, it can’t. It can’t lead such processes, but it can be a key part of successful change. We as interior designers don’t have the business background or the necessary skills to lead our clients in changing their workplaces or their technology. If at the end of the day, they don’t engage in the idea that ABW is about their business processes at a much bigger level than just a new office – we can’t make them. As designers, we can’t change their IT systems or their management structures, or their workplace culture. We can educate and influence them perhaps, but they need to come to the party (and bring their whole management team, HR,IT, FM and the rest along with them) if they want a successful ABW solution.

Like Le Corbusiers Unité d’Habitation which inspired so many inferior copies that became the model for apartment slums, are we in danger of the same thing occurring with ABW offices – design solutions which take the physical appearances and funky furniture settings of ABW environments – but not the business change, the use data and the problem solving behind the design. Will these be the workplace slums of the future (this is an idea I’ve had tucked away for ages and had been looking for the right blog post to share it in!) I guess the real question could be, is that any worse or any different to how workplaces are designed today? As Stephen point out, ABW could be next in an already long line of trends.

I thinks perhaps this is not so much a danger, as an opportunity. Yes, ABW could end up another trend, but this is perhaps more due to clients attitudes than things we as individual interior designers or architects can control. Our clients frequently treat workplace design as a product – separate from their business. So many of them do view it as “buying a new office”, a task best left to facilities and procurement – not HR and management. Perhaps sometimes it becomes something management wants to be involved in, and they start to treat it like buying a new car or their own home. Whenever we are engaged because we are the cheapest or because the client wants our practice for their name or their brand – we truly are a product. But to me, at our end, if our firms talk about”house styles” or we specify something just because no one else has it yet, we see ourselves as a product. If we don’t understand that our clients are buying a product and we give them what we think they need without questioning or engaging with them and their business needs, then we are giving them an inferior product. If though at the end of the day, we give them a design which meets their current perceived needs, then that’s ok too. That’s a product they want to buy. If we can work with them to deliver an amazing design solution that enhances wellbeing and productivity, it doesn’t matter if we call it ABW or something else, then that’s a great outcome, but at some level – it is still a product.

Being a product isn’t necessarily a bad thing. If its a crappily designed and produced product that people don’t enjoying using and want to send to landfill the next week, then yes it is a bad thing. But consider that the iPhone is a product too – and is both revolutionary and great design. I think I’d be happy if my next fitout was compared to an iPhone – wouldn’t you?

Spaced Out and 5 other mega trends in the property sector

Last week I attended the Green Building Council of Australia’s Green Building Day in Sydney. One of the notable changes in the professional development events held by the GBCA over the last year has been the broad range of topics impacting upon the design, construction and property industries which are being discussed at these kinds of events – I think this is really great to see as in my view there is a shortage of good professional development and training events available for architects and designers. (Green Building Day is also great for scoring your GreenStar accredited professional CPD points – you can get a whole years worth in just one day.) This year the keynote speaker was Bruce Precious from The GPT Group, speaking on Global Mega Trends and the Property Sector. I’d seen Bruce speak before on the GPT offices at MLC (and blogged about it here) . As I’d enjoyed his previous presentation and I was in need of a few more CPD points I signed up for the morning session. As I got so much just out of Bruce’s presentation and the panel talk following it, I’m going to focus on just that part of the morning. If you missed the day and were hoping for a full wrap, sorry but you will have to hunt elsewhere in the hope someone else has blogged about the rest! (Trust me I’ve picked the best bit for you)

Bruce’s presentation was covering research that The GPT Group undertook in conjunction with CSIRO looking into mega trends affecting property industry. The aim of The GPT Group in looking into these mega trends is to be able to convert threats into opportunities. Bruce noted that if there is evidence of a trend it has already happened, it is historic and doesn’t guarantee the future. I’d also note that if the research has gone this far and now being pushed out to the public its probably not the cutting edge trends of the minute – but then thats part of the point isn’t it, a mega trend is one that tends to last as while as well as have a large impact.

As so often is frequently commented upon in social and technology circles, Bruce commented on the fact that the world is accelerating, the pace of change is ever increasing. Does this mean we can still identify long term trends? This one is my question – but I think when we get to what are the 6 mega trends you will probably agree yes we can.

As well as long term trends there are shocks and tipping points, man made and natural. Whilst these can have just as much impact as the longer term mega trends, they are not something we can predict or our businesses can plan for. Although sometimes these shocks or tipping points could perhaps have been predicted? My question – Global Financial Crisis – shock or trend? But lets not go there – lets go now to what are the six mega trends which The GPT Group identified as having the most impact on their business, the property sector in Australia. Now see if you can guess what they actually mean…I love the names, great idea whoever came up with these catchy sayings.

Spaced Out
No it’s not about the fact we have less office space per person than ever. It’s about tech savvy people, being constantly connected, the change in how we communicate and what information we have available to us due to the massive changes in technology over recent years. It includes big data, but as Bruce pointed out we have to get from big data to big information, perhaps he thought we can then get to big knowledge but will big wisdom ever exist?

In practical terms, GPT are developing apps based around the concept of the shopping centre as the community hub. The apps not only display info about the centre but link social networks. In future,sensors will personalize this experience even further.

In the workplace, technology allows flexibility and movement – the freerange workplace. The empty desk could be used by anyone, not just someone from our own organisation. GPT has invested in Liquid Space – a start up company base on a concept similar to Airbnb and are now trialing spaces in Sydney and Melbourne.

This one has the most obvious title – using less – less water, less energy, less materials. Bruce took it in an interesting direction beginning with a discussion of the growing intellectual potential of the world is due to world growth, growing affluence, and participation of women. (I thought it was a great rant by the way!)

GPT are looking at cutting use of natural resources – reducing water, waste, energy etc. Bruce discussed recycling and the possibilities of improving recycling – upcycling rather than downcylcing. Eg rather than grind glass up into road base, can it be used as something higher? Aparently there is a company upcycling dirt from street sweepings which contains a high amount of precious metals, as apparently do old mobile phones! These are generating new possibilities for mining resources.

For GPT and the property industry in Australia energy savings have been a key change in recent years. GPT is part of the The Better Building Partnership which consists of many leading property companies in Sydney. Romilly Madew, the CEO of the GBCA is quoted on their website as saying “Partnership is the new leadership”, Bruce questions could mankind’s new force be cooperation? We now have a database of water, waste and energy covering a large chunk of the local Sydney commercial building market. This is a great resource for the Sydney property market and others moving forward.

The growth of China and other eastern population centers – a scale of populations that is unimaginable as an Australian. A company sales conference of 3000 people came to Sydney, this was just their top people! They booked the bridge climb for days solid! Can we even visualise this scale? Bruce recommended Gapminder.org as a way to visually see the changes and development of the world across many measures of large population centers. (There is a great gapminder TED talk too).

Behind the scenes
Supply chains and logistics are changing – both due to the internet and globalisation. I think there might be a lot more interesting stories behind this one.

Tangible intangibles
We are moving beyond consumerism as product consumption and into experience consumption – for example travel. Shopping centres for example are now experiential as well as for the function of shopping. Community spaces, outdoor spaces, gathering spaces.

The impact of ageing and disability on design. The space requirements for motorized scooters and wheelchairs.

I thought the last 3 trends could have been discussed further, all of them will impact on design and could be quite interesting. I can see why the trend More with Less was a focus at a sustainability event, but it did seem that maybe Bruce was running out of time at the end – I would have been quite happy to listen to more. Bruce’s presentation was followed by a panel discussion moderated by Romilly Madew with Bruce, Siobhan Toohill (Westpac) and Richard Palmer (WSP) who brought some interesting perspectives as well as answering audience questions on the topic of mega trends and the property industry.

What stories would you add to these last 3 trends? What do you think are the mega trends affecting the property industry? CSIRO apparently came up with eight of which GPT chose to focus on six. Do you think the trends elsewhere are the same as in Australia? Some of the other interesting trends raised in the panel discussion following were the social and sharing economy and the rise of the city.

It is mandatory that external walls are waterproof: What do client design guidelines, specifications and requests for tender have in common?

I am a little worried about the standard of their existing building given that they feel the need to write this out for their future architects to read. Surely for any building waterproof external walls is a pretty basic design expectation? The client shouldn’t have to ask for it. If the walls aren’t waterproof I’d say its a pretty big mistake, I’m pretty sure it’s negligent either on the part of the architect or the builder – so why write it down? It’s also pretty unlikely that it was deliberately designed that way, so putting it into a design guideline isn’t going to fix it. All it does is create work for someone to write it (the client organisation probably paid an architect to write this down) and more work for their next architect to read it. And whilst we all want more work,I think as architects and designers we would rather our clients were paying for something of value – for example our design skills – than this kind of bureaucratic process that wastes everyones time and in the end achieves nothing.

Originally when I started thinking about this post I was only thinking about client design guidelines, but then I realised that a similar problem exists with the specifications we write for builders, the briefs we or our clients write and request for tender or proposal documents written by our clients. We all spend a lot of time writing down things that are obvious, standard practice or a stautory requirement. How often have you read any one of the above documents that says the building has to comply with the BCA (Building Cde of Australia)? Doh – of course it does (assuming its in Australia!). What is much more important or relevant is specific details of how this building needs to comply – such as the levels of fire rating required. But that’s not defined. It’s left up to the project team to resolve – no problem, but they would have done that anyway without being told the building had to comply with the BCA.

All of these documents are often necessary and valuable documents for communication between parties in a construction project – but frequently seem to provide no value – just waste everybodies time.

In looking at client design guidelines what I like to see is actual requirements and details. For me, dealing mostly with interior design guidelines, I find that usually finishes, furniture and signage requirements are reasonably well defined, not surprising, as this is the look and feel as well as interchangeability of components – one of the main reasons for a large client organisation to have design guidelines in the first place. However, even with these items, often you start to get into the finer detail and things like materials or construction are not so well defined – is that Parchment white laminate table on 25 or 33mm thick board. And the thing is, if a client has gone to the trouble of having a design guideline more than likely they care about this level of detail, so then I have to ask what seems like a million questions.

It tends to get even more poorly defined when it comes to construction of fitout – partitions, doors, door hardware. Again, it seems misty definitions are typical. If you have a standard expectation for how partitions are constructed to achieve a certain level for acoustics – how about instead of referencing the Australian standard you just give me the details? That way you will save yourself getting a different acoustic engineer to give you advice on the same partition construction over and over again.

For some reason building services often seem to be a little better defined, but maybe this is because I’m not getting into the detail of it, and its a similar situation to the furniture. Perhaps some of my readers out there want to comment on this?

The problem seems to be that clients want to have design guidelines but they don’t want to take on any of the risk or liability for the design. They want to tell the consultant architect or designer what to do, but not to tell them too exactly, because then it somehow seems like the architect or designer has some kind of choice or responsibility. This is a ridiculous situation, wasting everyone’s time and money (and one I wonder which would stand up in court if tested anyway). If you as client have certain requirements or ways of doing things that have worked in the past – just tell your architects or designers – and if you do it the same way all the time, have someone write it down.

Moving to the other side though, we architects can be just as bad when it comes to specifications. I usually use Natspec (an Australian standard specification package) to put together my specifications. I want to point out that none of my comments are specific against Natspec but apply to the industry and the way we have come to write specifications generally. To me, specifications basically come into 4 parts – schedules/items of stuff that go into the building, installation methods, standards and submission requirements. So – the stuff that makes up the building, that’s pretty critical, if we don’t specify that we will have a problem. Now how to install it – is that our job or the builders job? And what’s the point of writing ‘install to manufacturers specifications’, that’s pretty obvious? Or even more stupidly why copy out the manufacturers specifications and standard details? As for standards – why do we need to reference them? Shouldn’t it be expected that glazing will comply with AS1288 as that’s the standard that is applicable? As for witness points and submissions, we frequently request loads of items that no one might ever look at. That is, until something goes wrong. And that is the point of most of the specification, it seems to be there for when something goes wrong and isn’t done properly – on many jobs I bet its not ever even read by anyone on the contractor team. It’s a shame we put so much time into something that’s almost just in case.

So what can we do to change all of this? Part of the problem is that our industry, so frequently all of the parties are separated by contracts which seem to actually prevent people from working together to sort things out and do things better, and everyone is trying to pass risk onwards down the chain. Outside of individual projects, when do clients, architects, engineers and contractors actually talk to each other about how to improve the way we work and construction industry productivity? Not so much in terms of making money – but in terms of all of us working smarter. Not very often.

One of the few times I see consultants, clients and contractors together is in the BIM space – although there is still not enough participation across all levels and sectors of the industry – and the lack of collaboration across the industry is has been one of the hinderances to BIM uptake to date. By coincidence, at the same time as I was thinking and writing on this topic, I received an invitation to be part of one of the Collaborate ANZ working groups on Level of Detail – now while Level of Detail might be a BIM issue (read a good explanation at Practical BIM) – in the end, it comes down to the same things I’ve been talking about in this post – making sure that the right information is shared across the industry and across projects with the people who need it at the time they need it. Whilst Collaborate ANZ is BIM focussed, most of the people involved are passionate about improving collaboration and communication across the industry as a whole. If we can get people talking about collaboration on BIM, and if BIM becomes a standard tool across the industry and starts to cover things like client guidelines and specifications – hopefully this will start to solve some of the problems across the industry. If my client could give me a full BIM package – template and families – maybe I wouldn’t have to read through all the irrelevant wordy guidelines and maybe my BIM model could go to the contractor with all the information they needed, but nothing extraneous included – and that could be our documentation. No specifications, no design guidelines. (It still doesn’t solve the problem of requests for tender though does it?)

However maybe I am being too optimistic here? What do you think – how can we streamline the way we work and reduce unnecessary documentation? What are the strangest design guidelines or specification requirements you have seen? Or should things stay as they are – are these kinds of documents generating work for architects and designers?

There is no I in workplace – the role of the individual in workplace design consultation

A few months ago I read an article by Gary Miciunas, “The design of work and the work of design” in Work+Place. Miciusnas focuses on the collaboration between the Director of Work, Director of Work-Place and the workplace designer – bringing together facilities management, human resources, information technology and business services to deliver new service oriented work place models. The collaboration of these teams would be a significant improvement over current typical model of workplace design where it can be a challenge to get all of these people to even sit down together in one meeting (I’ve talked a little about this before – What makes a great workplace design client). However this approach got me thinking about the question of where and how the individual knowledge worker fit into this collaboration? Given the flexibility to choose a place of work – work from home, work from a cafe or work in the office – may mean that workers vote with their feet. What impact does this have on the design of the workplace? What if we design a workplace and no one shows up?

As the choice of place to work becomes a choice of consumption, does the individual workplace user need to become more involved in the workplace design process? Or can the role of the ‘user group consultation’ possibly be reduced as variety or a menu of workplaces are built into the design? The challenge of involving all individuals in workplace design is already a problematic issue. Workers frequently have very fixed ideas of the settings they need to do their work. Sometimes this is based upon existing layouts or settings, at other times those seen elsewhere or an idealised setting. Whilst the worker knows their work best – are they equipped to imagine other possibilities? Do they understand how their work fits in with other work within the organisation?

The idea of ‘the design of work’ perhaps provides a good starting comparison point to the ‘work of design’ of the work place. As anyone who has ever worked within a large organisation knows many individuals design their own processes, systems and software optimising these to suit their own individual needs to best get their job done. However if there is too much individualisation and not enough organisational standardisation, this comes at a huge cost. Each individual worker has spent significant time to customise their work process and it differs from the work process of the other 50 people doing the same job. This is not efficient for an organisation. However too much standardisation and the individual knowledge worker is likely to get frustrated – because whilst there might be 50 others doing the same role, the way they do their job and apply their knowledge is not, and does not need to be identical. Could some of the same thinking apply to the workplace? How can we give people the individuality and flexibility to optimise their work place without losing the benefit of standardisation?

To me, the idea of Activity Based Working can be seen as a potential solution. A variety of different workspaces and settings are offered within the work place ranging from different size and shape workstations, differing levels of privacy and enclosure and different styles of furnishings. The worker has the choice of where to sit each day or each hour depending on the task at hand. The worker may also have the choice not to be in the workplace at all but working elsewhere. By offering a variety of workplaces, can the worker gain sufficient control to improve productivity by enabling choice of environment?

What happens if the workers do indeed vote with their feet, and large parts of the workplace remain unoccupied? This is surely not the aim of a workplace, and would appear to suggest that the design has failed. How do we as designers determine what types of environments to offer? Is it through user consultation, co-desgin (an even more intensive user involvement) or can we start to combine these activities with a more objective evidence based approach?

Currently workplace design (especially in Australia) tends to be based upon the experience of individual designers or companies, with very little high level research applied across multiple sites or projects (what research there is tends to be focussed on green building measures or space utilisation and is not necessarily comparable across studies). Through more research that captures what workers do across similar task types or industries and what design elements provide improvements to productivity, job satisfaction or collaboration – best practice can be defined. This kind of research could give a design team the confidence to know what kinds of spaces to design, based upon defined activities.

Research on the design of the workplace needs to be both qualitative and quantitative – this is where it has the advantage over traditional user group consultation which tends to be qualitative. Quantitative research needs to include testing of actual workplaces. The idea of beta testing our workplaces is already is use on larger projects. Frequently organisations with many thousands of square metres of office space will install prototype work areas for testing during the design process – from the scale of 1 or 2 workstations for workers to drop by to look at, up to the scale of whole floors where staff are working and formal research is being undertaken of how the space works. This is not always practical for smaller projects and if the knowledge of larger projects was made available to smaller projects could give more small to medium size organisations the encouragement and hard reasons to move towards different workplace models. Perhaps through benchmarking and physical testing, in the future simulated computer testing based on previous project data could also become a reality.

Whilst benchmarking and best practice need to be considered, each workplace still needs to be designed for individual organisations and teams. Ideally each individual work space should be be evaluated and tested to ensure it is providing value to the organisation. This can’t occur as part of the way the design process is currently structured, where the design is completed before the work begins. Perhaps the design process needs to be enlarged, to encompass ongoing evaluation and if necessary redesign with testing of workplace continuing beyond day 1 occupation. Therefore the space that remains unoccupied is not seen as a failure of design but as simply as an area which needs more development. Perhaps it also needs to be considered that it is not design that is the issue, but that the workers need to learn how to use this new kind of space. This then has impacts upon how we procure work place fitout. Can furniture and fitout companies offer components that are offered on rotation for changing needs over time, with leasing instead of outright purchase? Or designs with common component parts that can be reconfigured from a workstation setting to a meeting setting?

Are clients prepared to invest in these kinds of workplaces and the research required to achieve best practice? In Australia, in particular, research into workplace design and productivity has always been very limited and as in many other places has suffered further as a result of cost cutting in tough financial times. However does the changing nature of work and the workplace mean that the creation of great work places is no longer a choice but a necessity in order to attract and maintain the best workers, and get the most out of them?

Are today’s interior designers equipped to manage this process? Do they want to be? Unfortunately there are still too many clients who view interior design in a similar category to interior decoration. A strategic collaboration between interior design, research and the new Director of Work could see this change – or will this see interior design marginalized by a new genre of workplace productivity and strategy experts?
